This Privacy Policy explains how GroundFlow (“GroundFlow,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you use our website, apps, and related services (the “Services”).
GroundFlow is a product of AABAHO LLC, a company registered in Illinois.
1) Information We Collect
Account & Contact Data. Name, email, password hash, and optional phone number for reminders.
Personality & Report Data. Test answers, scores, uploaded PDFs, derived summaries, and reminder preferences.
Usage & Device Data. Log data, IP address, device/browser type, pages viewed, and interactions.
Cookies & Similar Technologies. We use cookies and similar tools for sign-in, preferences, analytics, and performance.
2) How We Use Information
We use information to: (a) provide and personalize the Services; (b) generate summaries and reminders; (c) send transactional emails/SMS (e.g., verification, reminders); (d) improve and secure the Services; (e) comply with legal obligations; and (f) communicate with you about updates and features.
3) Product-Specific Disclosures (LLM & Reminders)
LLM Processing & Anonymization. To create reminders and summaries, we may transmit anonymized and/or pseudonymized text derived from your test data and uploads to large language model (“LLM”) providers solely to fulfill your request. We strive to remove direct personal identifiers we do not need (such as your name, email, and phone) before submission. Providers act as our processors and are contractually limited to processing for our instructions.
SMS/Email Delivery. If you opt in, we send reminders via third-party processors (e.g., Twilio for SMS, SendGrid for email). Standard carrier rates may apply. For program details—including how to opt in/out, HELP keywords, and typical frequency—please see our public Mobile Terms (SMS) page.
4) Legal Bases (EEA/UK Users)
Where applicable, we process personal data under the following legal bases: (a) performance of a contract (to provide the Services); (b) legitimate interests (e.g., service improvement, security); (c) consent (e.g., marketing communications, optional reminders where required); and (d) compliance with legal obligations.
5) How We Share Information
We share data with service providers that help us operate the Services (e.g., hosting, analytics, LLM processing, email/SMS delivery, payment processing). We may also share information to comply with law, protect rights and safety, or in connection with a business transaction (e.g., merger or acquisition). We do not sell personal information.
6) Data Retention
We keep personal data only as long as necessary for the purposes described in this Policy, to comply with our legal obligations, resolve disputes, and enforce agreements. You may request deletion as described below.
7) Security
We employ administrative, technical, and organizational measures designed to protect personal data. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
8) Your Choices & Rights
Access, Update, Delete. You may access, correct, or delete certain information in your account settings or by contacting us.
Marketing & Reminders. You can unsubscribe from marketing emails at any time, and you can disable SMS/email reminders in your settings. For SMS, you can also reply STOP to any message to opt out and HELP for help. See our public Mobile Terms (SMS) for full details.
EEA/UK/California Rights. Depending on your location, you may have rights to access, delete, correct, or port your data, and to object to or restrict certain processing. You can exercise these rights by contacting us at privacy@groundflow.ai.
9) International Transfers
We may transfer and process information in countries other than your own. Where required, we use appropriate safeguards for international data transfers.
10) Children’s Privacy
The Services are not directed to children under 13. If we learn we have collected personal information from a child under 13, we will take steps to delete it.
11) Changes to This Policy
We may update this Policy from time to time. We will post a new “Effective date” when we do. Your continued use of the Services after changes take effect indicates your acknowledgement of the updated Policy.
